Collection handover planning at a return point

When a reverse vending machine is unavailable, tell visitors which return option has actually been confirmed, where to find help and when the information was checked. Do not turn an equipment fault into a promise of manual acceptance or a refund that the site cannot fulfil.

Use the programme’s actual return arrangements

Ireland’s Re-turn consumer guidance directs visitors to ask staff about another machine or use its Point Locator for a nearby return point. That is guidance for the Irish scheme. It does not mean every retailer in every country offers a manual fallback. Confirm the local programme, the site’s registered return method and the available staff support.

An alternative point should be checked for location, opening hours and applicable return method. If availability has not been confirmed, say so. Avoid directing visitors to a locked room or an entrance they cannot use with the containers they brought.

Prepare four different messages

Keep the unavailable message visible before visitors unload containers. Show a review time so staff know when an old instruction needs replacing. This is a proposed operating checklist; an alternate route or digital status feature needs confirmation for the specific project.

Give staff a short handover record

Record the site and equipment identifier, the time the fault was reported, the responsible contact and the last confirmed alternative. Separate a repair estimate from a confirmed reopening time. Remove the notice only after the responsible operator has checked the return service.

For an interrupted session, preserve the reference available through the approved process. Do not ask visitors to insert containers already recorded as returned, invent a credit or promise compensation from the browser screen. Refer unclear cases to the programme’s documented support procedure.

Common questions

Does a broken machine automatically require a manual refund? Establish the applicable scheme and the site’s actual arrangement before making that claim or offering that option.

Can the nearest point be advertised as available? Only if availability has been confirmed. A locator identifies possible destinations; it does not replace that check.
